The company

Founded in 2021 by Rizwana Fathima Nazar, Naz Law is a law firm specializing in civil, commercial, real estate, and immigration law. Today, the firm operates with a distributed team spread across Canada, managing legal matters across multiple courts and jurisdictions. Built by a team of young and driven professionals, Naz Law is committed to making legal support more accessible and approachable.

The firm offers free consultations across Ontario, Brampton, and Mississauga for all services except immigration, with a focus on making legal assistance as stress-free and straightforward as possible.

The challenge

Winning legal cases is challenging enough. Managing client information, court deadlines, documents, and ongoing matters without the right systems in place makes things more daunting.

When Naz Law just started, like any startup, they were doing manual entries for walk-ins. Information was noted down using pen and paper and then entered manually into spreadsheets. While deadlines were tracked in Excel, there were no automated reminders, which made it easy for important follow-ups to be overlooked. Since multiple clerks maintained separate sheets, Nazar often found herself navigating scattered data just to stay updated on the cases the team was working on. That's when she realized the need for a CRM.

The solution

After comparing suitable platforms on the market, Naz Law implemented Bigin because it was cost effective, customizable, and user friendly. The CRM has become an integral part of their daily work as it acts as a centralized hub for case management, deadlines, communication, and internal coordination across the firm. What began as a need for better organization quickly evolved into a structured operational system for the entire team.

One of the most heavily used features is Bigin's calendar view. Every hearing, follow-up, internal task, and pending action is tracked within the calendar, giving the team a clear overview of their day-to-day operations. Tasks assigned to clerks automatically appear in their workspace, removing the need for constant manual follow-ups.

"As soon as I assign a task in Bigin, the team can see it immediately. I don't have to separately call or inform anyone."

The firm also relies heavily on Team Pipelines to categorize legal matters by court type and stage. Using separate pipelines and stages, the team can instantly identify how many cases are active in small claims court, superior court of justice, landlord and tenant board matters, and more. Custom stages, such as document submission and document approval, help standardize processes across cases.

Civil litigation cases often involve hundreds of documents tied to a single matter. To support this kind of document-heavy litigation work, Naz Law adopted Bigin's File Cabinet add-on. The team can upload and organize all related files within the corresponding pipeline record, making them instantly accessible to everyone involved.

Automation became another critical component of their setup. Naz Law configured stage automation rules that prevent files from moving forward unless key conditions are fulfilled, such as confirming client payments or disbursement fees. The firm also uses inactivity reminders that automatically notify the team when a deal has not been updated for two weeks. This feature has helped management ensure no client goes unattended for more than two weeks.

Benefits and ROI

"The biggest benefit of using Bigin CRM is that we are not missing out on any case hearings or any case deadlines. Therefore, there has been a productivity increase of about 40%."
